Free CRM Software for Small Business in India (2026): What You Actually Get
Free CRM software can be useful for a small business in India, but ₹0 does not mean unlimited. Compare users, leads, pipeline, follow-ups, automation, mobile access and upgrade limits before choosing.
Short answer: A free CRM can be enough for a solo founder or very small sales team, but “free CRM” does not mean the same thing across vendors. The useful comparison is not simply whether a product costs ₹0. Check how many users are included, what lead and deal features remain available, what limits apply, and what happens when your team outgrows the free tier.
If you are choosing CRM software for a small business in India, start with the workflow you need to control: capturing enquiries, keeping customer records in one place, tracking deals, and making sure follow-ups happen. Then compare free plans against those requirements.
What should a free CRM do for a small business?
At minimum, a useful free CRM should help you keep contacts and leads organized, move opportunities through a simple sales pipeline, record activities, and give the team a shared source of customer information.
- Contacts and leads: a searchable place for customer and prospect records.
- Deals or opportunities: a way to see what is new, active, won or lost.
- Tasks and follow-ups: reminders or activities so prospects do not depend on memory.
- Basic reporting: enough visibility to understand pipeline activity.
- Access for the people who actually sell: check the free user limit before moving your team into the system.
Free CRM does not mean unlimited CRM
Most free plans are designed to let a small team start using a product before paying for additional capacity or advanced capabilities. That can be useful, but the limits matter.
For example, Zoho CRM’s current Free edition supports up to three users and includes leads, deals, contacts, tasks and events, with additional limits described by Zoho. Zoho also offers a 15-day trial of its paid editions. Zoho’s current free-edition documentation is the best place to verify the latest limits before buying.
HubSpot currently describes its free tools as non-expiring free access, with the free offering limited to two users on its pricing pages. Its free CRM includes core capabilities such as contact management and deal pipelines, while more advanced capabilities sit in paid products. HubSpot’s current pricing page should be checked for the latest limits.
Freshsales also documents a Free plan for very small sales teams, with a three-user limit and a defined feature set. Its support documentation explains how the Free plan is activated and what it includes.
How to compare free CRM options in India
Instead of asking which free CRM is “best,” score each option against your actual workflow.
| Question | Why it matters |
|---|---|
| How many users are free? | A three-user plan may work for a founder-led business but fail once sales responsibility is shared. |
| How many leads or contacts can you store? | A free plan is less useful if you hit a record limit quickly. |
| Can you manage deals? | Contact storage alone is not the same as a usable sales pipeline. |
| Are follow-ups included? | Lead capture without a follow-up process does not solve the underlying sales problem. |
| What automation is included? | Free tiers often reserve advanced automation for paid editions. |
| Can your team use it from mobile? | This matters when salespeople work away from a desk. |
| What happens when you outgrow it? | Check upgrade pricing, migration options and whether your existing data remains usable. |
Three free CRM approaches worth comparing
Zoho CRM Free
Zoho’s current documentation says its Free edition supports three users and includes core CRM capabilities such as leads, deals and contacts. Zoho also documents tasks and events, mobile access and other features in the free edition. This makes it worth evaluating when a very small team wants a conventional sales CRM without paying at the start.
Watch: free-plan limits and the point at which your required users or workflows move into a paid edition.
HubSpot Free Tools
HubSpot currently offers free tools that do not expire. Its published materials describe contact management, deal pipelines, reporting and other free capabilities, while its paid products add more advanced functionality. The current pricing page lists the free offering for up to two users.
Watch: whether the free feature set matches your sales process once you need more users, automation or advanced reporting.
Freshsales Free
Freshworks’ support documentation describes a Free plan limited to three users and lists capabilities including contact, account and deal management, Kanban views, notifications and selected integrations. It is another option to test if your main requirement is a small sales pipeline rather than a large all-in-one business suite.
Watch: exactly which features and limits apply to the current Free plan, because vendor plans can change.
Should an Indian small business choose free CRM software?
Usually, yes—if the free plan covers the workflow you need today and you have a clear reason for upgrading later.
A free CRM can be particularly sensible when you are moving away from spreadsheets, individual contact lists or informal WhatsApp follow-ups. The first objective is not advanced automation. It is creating a reliable shared process for leads, customer records and next actions.
But free should not become the only buying criterion. If a free plan forces you to work around important limits every day, a low-cost paid CRM may be cheaper in practical terms because it saves time and reduces missed follow-ups.
Free CRM vs paid CRM: the decision rule
Use a free CRM when:
- your team fits inside the free user limit;
- your lead volume is comfortably below the plan’s limits;
- basic pipeline and follow-up management are enough;
- you are still establishing your sales process; and
- you want to validate adoption before paying.
Consider paid CRM when:
- you need more users;
- your workflow requires advanced automation or reporting;
- you need integrations that are restricted on the free tier;
- your sales process has become too complex for the free feature set; or
- the cost of workarounds is greater than the subscription cost.
What about WhatsApp?
For many Indian small businesses, WhatsApp is part of the customer workflow. But a CRM having a WhatsApp-related integration does not automatically mean that every WhatsApp workflow is included in its free plan.
Before choosing a CRM, separate three questions:
- Can the CRM store customer information and sales activity?
- Can it connect to the WhatsApp workflow you actually use?
- Are the required WhatsApp features, messaging costs, integrations or third-party services included in the plan you are considering?
Do not assume that a vendor’s free CRM tier includes every WhatsApp capability advertised elsewhere on its website. For the India-specific cost side, see our WhatsApp CRM pricing and Meta-cost guide and CRM pricing guide for India.
A simple 10-minute free-CRM evaluation
- Add five real or representative leads.
- Create the sales stages your business actually uses.
- Assign a follow-up task to each lead.
- Move two opportunities through the pipeline.
- Check the mobile experience.
- Ask another team member to find and update a customer record.
- Check what happens when you reach the free-plan user or record limit.
If the team cannot complete this basic workflow comfortably, adding more features will not solve the adoption problem.
